Order Information

The Penn Vector Core accepts orders by fax and email and would be pleased to address any inquiries by email or fax.

To place an order please follow these steps:

1. ACCOUNT: Make sure your lab is set up with the Vector Core. If you have placed orders with us before you may skip this step, but if not, please fill out the following form:

2. REQUEST: Choose the order form needed for your vector request.

(Once a vector request is received, a quote will be sent via email to the requestor.)

3. MTA: Fill out the Material Transfer Agreement required for your request.

A specific MTA template is required for the provision of AAV vectors for work involving domain antibodies. Additional MTAs are required for the transfer of lentiviral vectors pseudotyped with the Ebola glycoprotein envelopes.

Addgene Material Transfer Agreement / Permission of Use & Additional Requirements: Some vectors may require an additional (non-Penn) MTA, statement of permission to use, or acknowledgement because they were created based on ORIGINAL MATERIALS distributed through Addgene or that have been sent to us directly by generous investigators. The materials that require these additional agreements or acknowledgements are indicated in the Inventory Catalog.

4. SUBMIT: Once complete, please return all forms to the Penn Vector Core.

5. PAYMENT: Once a vector request form is received, a quote will be sent via email to the requestor. The quote will contain billing and payment information and instructions.

6. SHIPPING: All materials are shipped using the courier and account information provided by the requesting investigator. An additional charge (‘shipping materials fee’) to cover the cost of dry ice, shipping compliant packaging and handling will be added to quotes/invoices for services requiring shipment. Once shipments are scheduled, an email confirmation is provided along with the FedEx or other courier tracking number.

Inventory Vector Requests

Vector related materials listed in our inventory are often available for immediate release and will be scheduled for shipment upon receipt of an Inventory Vector Request form, all MTA's required, and payment. The online catalog lists some of the vectors available through our inventory as 100 ul aliquots for $250 per vial.

Custom Vector Requests

The timeline for custom vector requests is dependent upon the vector type and the form of source material (if any) provided. Custom AAV and lentiviral vector requests for which sufficient DNA is provided to proceed directly to production are typically completed within 3 – 4 weeks (with material being put into production within 2 weeks of receipt). If cloning, DNA amplification, or DNA structure / sequence analysis is needed, the timeline for completion will be extended and dependent upon the complexity of the project. Billing and Payment Information:

When materials and/or a request is received and processed, a quote for services will be generated. Penn Vector Core invoices may be paid via credit card, check, wire transfer or purchase orders (preferred.)

Shipping Information:

All materials are shipped using the courier and account information provided by the requesting investigator. An additional charge (‘shipping materials fee’) to cover the cost of shipping materials including dry ice, UN3733 shipping compliant packaging and handling will be added to quotes / invoices for services requiring shipment. The Vector Core is unable to invoice for actual shipping charges. However, if a FedEx or other courier account number cannot be provided, the requesting investigator may provide a waybill for each specific shipment. Once shipments are scheduled, an email confirmation is provided along with the tracking number.

For international shipments: It is the responsibility of the requesting investigator to determine if the courier account number provided is appropriate for biological substance / dry ice shipments and whether an import permit or government note is required. Our customs declaration forms will list vector-based materials as UN3733 biological substances with the following description: "vector type (eg. adeno-associated viral vectors with the serotype specified) non-replicative, non-hazardous, for research purposes only, not for resale."

Storage Information:

All vectors (including AAV, adenoviral and lentiviral vectors) will be shipped on dry ice and should be stored at -80 C upon receipt. AAV vectors can be re-frozen after the first use but we recommend keeping the number of freeze-thaw cycles to a minimum by aliquoting the vectors into smaller aliquots if needed. It is not recommended that adenoviral or lentiviral vectors be re-frozen. AAV vectors will arrive in PBS plus 5% glycerol and 35mM sodium chloride; we recommend any further dilution in PBS.

Inventory Vector Requests

Vector related materials listed in our inventory are often available for immediate release. Please coordinate a pickup time with Dr. Arbans Sandhu.

The TRL Shuttle van service has been available since Jan 2005 for transport between TRL and the rest of the UPenn campus. To schedule a ride or to arrange for immediate pick-up, simply call the School of Medicine Security Operations Center (215-898-0669). You may schedule your return trip with the driver or call for a ride when you are ready to leave TRL. Penn ID is required.

Transporting Hazardous Materials on the TRL Shuttle: You will need approval from Environmental Health and Radiation Safety to transport biological materials (including animal tissues, animal blood and vectors). Please see the EHRS webpage for shuttle transportation guidelines as well as the form to obtain approval for your lab.
