ACCESS KEY PROCEDURES document should be distributed to anyone who uses a black access key. This document explains the process and policies for access key usage by staff, students, and vendors. In order to obtain a key from the division of Safety and Security, an ACCESS KEY APPLICATION form must be completed and submitted.

Research Alcohol is ordered through the BRB II/III Alcohol Service Center and must be picked up at the BRB loading dock by a lab member. Alcohol Service Center staff do not deliver alcohol.The Alcohol Service Center distributes two types of ethyl alcohol: 190 proof and 200 proof.
- 190 proof alcohol is sold in one gallon bottles (four gallons to a case) and five gallon pails.
- 200 proof alcohol is sold in one gallon bottles (four gallons to a case) and pint bottles (twenty four pints to a case).
- Do not order quantities of alcohol greater then your approved storage capacity.
- Alcohol Service Center staff cannot lend out carts for the transport of alcohol orders.
- Triple rinse empty alcohol containers before putting them in the trash.

Please use the web page to place your alcohol order. All orders need to use the webpage. When you use the web page, you must print out the email you receive confirming that your order has been approved and bring it with you to the
service window of Distribution Services on the first floor of BRB II/III when you pick up your order. You can pick up alcohol between 2:00 p.m. and 4:00
p.m. on Tuesdays and Fridays.

The staff of Facilities Planning and Space Management is available to help you with floor plan layout, developing scope of work, designing the space, cost estimating, construction management, and furniture selection.

Management
Other responsibilities of Facilities Planning and Space Management include:
- Oversee all facility planning activities for the Medical Center
- Long range planning analysis
- Allocation of facilities resources
- Analysis of need and feasibility, programming, and project formation of Perelman School of Medicine facilities initiatives
- Physical inventory of space and data collection
- Coordination of off-campus space requests, lease budgets, landlord negotiations
If you are planning a renovation to your office or lab space, you can initiate the process by going to http://www.med.upenn.edu/apps/my/ssr. Fill out the digital request form for renovation services or equipment purchases. The form asks for basic information about the project and requires a 26 digit account code and the approval of the Department Chair and BA. The digital request system obtains approval via email from appropriate approvers.
To order new keys, complete a DEPARTMENTAL WORK REQUEST form, providing a 26 digit account number along with the signature of your Business Administrator. All requests must be approved first by the Perelman School of Medicine’s Safety and Security Office, 109 Stellar-Chance, 215-898-6189. After Security’s approval, the request must be approved by our office. The approved form is then submitted to the Lock Shop.
The Lock Shop will process the request within five working days. New keys are sent through intramural mail, unless your Building Administrator has made other arrangements.
If same day service for duplication of keys is required, please follow the same steps as above. You must, however, hand deliver your request to the Lock Shop. The Lock Shop is located in The Left Bank Building, 3101 Walnut Streets on the ground floor (towards the end of hall). The hours of operations are Tuesday and Friday from 12:30 P.M. to 1:30 P.M. The telephone number is 215-573-3438. (Please note: A request for six or more keys cannot be filled on the same day.)

Media Technology and Production Services provides classroom and special event support with a wide variety of equipment and staff technicians. Services ranges from basic equipment rental to video conferencing to sophisticated video production.
If you wish to rent equipment from our A/V department, you must submit an “A/V Rental” form from SPO*TS, the on-line scheduling and tracking system.
These rooms are intended for PSOM community use only and require either black key or Penn/UPHS card access as listed below. Rooms are available on a first-scheduled basis. Time slots can be reserved in advance using the sign-up boards on the doors.

To reserve a room or space for any type of event, lecture, presentation, ceremony, meeting, etc., you must complete a request on SPO*TS, the on-line scheduling and tracking system. SPO*TS will also allow you to view room layouts and other details about rooms such as capacity, phone lines, etc.
