Penn Student Registration

All international activity should be registered with the Center for Global Health, whether or not it meets funding or credit criteria.

It is essential that students plan activities that are appropriate for their level of training and experience. Regardless of medical school year, students must never agree to engage in activities at a global health site that they would not be qualified for at Penn Medicine.

  • MS1/2 students are not qualified for clinical activity in which they could be exposed to blood and body fluids. 
  • MS3/4 students who are qualified and approved by CGH for clinical work and who could be exposed to blood/body fluids must review PEP instructions and have a reliable source of PEP drugs. If the planned experience could include phlebotomy, IV placement, para- or thoracentesis, and/or lumbar puncture, the student must also complete ITD357 and a phlebotomy log before departure.  Currently, the only pre-approved site for such work is the Botswana clinical elective arranged via selection process.  To propose any other clinical location, students must make an appointment with the CGH office to propose the activity.  The scope of activities and background of the onsite supervisor/mentor (i.e. CV) are essential.

MS3/4 Students- Botswana Clinical Rotation

Pre-Registration
  1. MS3/4s interested in the Botswana-UPenn medicine elective should attend an information session in early October. The information session will provide a thorough overview of the elective and outline the application, interview, and selection process.
  2. Students are required to attend ITD357: Sim Procedures/Reducing Risk, Low Resource Setting and the ITD359: Pre-Departure Training before departure for Botswana. ITD357 is a 4-hour course held on certain Saturdays at Penn Medicine at Rittenhouse. The ITD359 is a 3-hour course that occurs 4 times a year, the schedule for which aligns with the ITD357 course. You will receive your assigned ITD357 and ITD359 dates in your invitation email. Attendance at both courses is mandatory and there are no exceptions.

Elective spot and CGH funding are not guaranteed; students must submit registration AT LEAST 6 weeks before their start date. CGH reserves the right to rescind a previously offered elective spot if requirements are not completed by set deadline.

  2. Upload signed SHS Pre-Travel Visit Form (after visit occurs)
    • Contact SHS at 215-746-3535, press option 1 to speak to a nurse, and specify the following in your appointment request: travel consultation for global health, travel immunization appointment & respirator clearance and N95 fit test appointment.

Step 2

CGH will review Registration- Part 1 and approve your trip. Only after approval should you purchase airfare- you must follow these instructions for purchasing airfare to correctly receive your airfare reimbursement from CGH. You may begin Registration- Part 2 after purchasing airfare.

CGH will directly send the link for Registration- Part 2 after approval.

Step 3

Registration- Part 2
  1. Register your trip with the Penn Global Activities Registry; upload screenshots of #1 (Demographics) and #3 (Itinerary).
  2. Visit the ISOS Portal and determine Botswana’s current risk rating. Complete the high-risk or low-risk Liability Form based on Botswana's current rating.
  3. Complete 10 supervised phlebotomies and upload the Phlebotomy Practice Form. Instructions for scheduling phlebotomy practice are on the downloadable form.

  1. Fill prescriptions provided by SHS
  2. Obtain passport and all visa/country entry documents. Print the BUP Pocket Reference which contains vital immigration information for entering Botswana
  3. Review scope of personal health insurance coverage and obtain additional coverage as needed
  4. Review and print ISOS member/contact information and Procedures Log

During and Post-Travel
  1. It is your responsibility to inform Liza Rissik (rissikl@bup.org.bw) of ANY travel you plan to do while in Botswana. It is imperative that the BUP know where Penn students are at all times (even on the weekend) to ensure student safety.
  2. Throughout your rotation, enter all procedures performed on the Procedures Log and include supervisor signature.
  3. At the end of your trip but while still in country, complete the Penn Med Student section of the Evaluation Form and have your Mentor/Supervisor complete and sign. You must email the form to the Registrar at charita@pennmedicine.upenn.edu and upload in the Global Health Experience Report and Questionnaire.
  4. In order to receive the remaining balance of your travel stipend, you must complete the Global Health Experience Report and Questionnaire and submit your Procedures Log by email.
  5. Obtain PPD or submit TB symptom check at Student Health Services 12 weeks after the end of your experience. Students are automatically registered for post-travel PPD through OASIS.

MS3/4 Students- Indian Health Service Clinical Rotation

Pre-Registration

Note: The CGH stipend is a total of $1000 ($500 pre-travel airfare stipend + $500 post-travel reimbursement). IHS rotations typically require car rental; keep the stipend and your personal finances in mind before applying for the rotation.

  1. Contact Dr. Lenorah Wos (AT LEAST 4 months prior to your intended start date) with your available dates. If a rotation spot is available, Dr. Wos will send you the application information required by Whiteriver HR- this application can take up to 3 months to complete.
  2. If you are successfully placed in a rotation at Whiteriver, you can begin the registration below.

Pre-Registration
  1. Explore opportunities on the CGH website (and beyond); research regions and country of interest.
  2. Consider the finances: review funding opportunities on our website to see what kind of support you can expect and/or apply for
  3. Obtain or update your passport (US citizens passport information) and check out visa entry/exit requirements for your destination/s.
  4. Identify a viable activity and mentor/supervisor and establish the means for ongoing communications regarding all details. You are required to obtain confirmation from host site mentor or representative specifying the start and end dates for experience and detailed scope of activity- you will upload this host site confirmation letter during the registration process.
  5. Work with mentor/supervisor to obtain:
    • Recommendations for housing, travel, and logistics
    • Advice on best way to handle your finances i.e. credit cards, checks, cash, etc.
    • Advice on mobile phone and Internet communications for emergencies and general communication. 
      • Note: Mobile phone access for sending and receiving emergency calls is required

  6. For students traveling to Botswana, print and carry the BUP Pocket Reference sheet.
