Penn Medicine Privacy Office Guidance on the Use of Penn Tools for Telemedicine, Research & PHI

The Penn Medicine Privacy Office has published information regarding the appropriate use of Penn video conferencing tools. This guidance covers when the use of Microsoft Teams, Blue Jeans and Zoom is appropriate and what steps users must take to ensure these meetings are secure.

GSuite Zoom Plugin Changes Effective April 25, 2021

PSOM Zoom users who have installed the Zoom Plugin for GSuite should check their email for an announcement by Zoom. The GSuite plugin will prompt all users to re-authorize Google's access to contacts. If you decline the authorization request, the Zoom for GSuite Add-on will not be able to schedule meetings.

Zoom Outlook Plugin for Mac Changes

PSOM Zoom users who have installed the Zoom Plugin for the Outlook Desktop client on Macs should review an important message from Microsoft. Microsoft will begin blocking certain types of plugins in with the May 2021 release of Microsoft Outlook. Users should consider following the Microsoft Outlook Web Application Zoom plugin instructions if they encounter any issues.

Zoom User Migration Notice: Upcoming Migration of PSOM Users from upenn.zoom.us to pennmedicine.zoom.us

PSOM Zoom users who have been accessing Zoom through the University Zoom environment (upenn.zoom.us) are targeted to migrate to the Penn Medicine Zoom environment (pennmedicine.zoom.us) in early January. If you have a valid business purpose, such as teaching or participating in a course outside PSOM, please complete the Qualtrics survey found here by December 22: at https://upenn.co1.qualtrics.com/jfe/form/SV_8vHVo6AWmi8Mpud.

Important Zoom Changes Effective October 29, 2020

As the adoption of Zoom continues, Penn Medicine Academic Computing Services and ISC continue to work together to manage our Zoom environment. With that in mind, we are making three changes to the Penn Medicine Zoom environment on Thursday, October 29th.

  • To address recent “Zoom bombing” attempts, by default, all meeting attendees who are not logged in to Zoom with their Penn Medicine credentials will first enter a “waiting room”. The meeting host or hosts will need to admit attendees who are not part of the Penn Medicine Zoom environment. Individuals may turn off this setting for their own user account or on a meeting by meeting basis.
  • To further reduce the opportunity for “Zoom bombing”, by default, all meetings will also require a passcode to access the meeting. Individuals may turn off this setting for their own user account or on a meeting by meeting basis.
  • Finally, any cloud recordings of Zoom class sessions that are initiated from within Canvas will be stored exclusively in Canvas/Panopto. Once this change is implemented, Panopto will automatically move recordings to 'Trash' in Zoom Cloud after they have been successfully imported to Panopto. Panopto does not consider recordings to have successfully imported until both the video and the audio transcript have been imported. Please note there can be a delay of up to 96 hours between successful import into Panopto and deletion from Zoom. For now, recordings initiated through Canvas prior to October 26 will not be affected by this change.

Zoom App Integrations

There are many applications that can integrate with Zoom. The Penn Medicine Zoom environment restricts access to these applications, but there is now a process in place to evaluate and activate applications. Penn Medicine Zoom Now Integrated with Canvas and Panopto

The Penn Medicine Zoom environment has now been integrated with the University of Pennsylvania's Canvas and Panopto environments. Users can schedule Zoom meetings for their courses through Canvas and, if Zoom Cloud Recording has been enabled for their Zoom account, link to recordings directly. Please visit Canvas and Panopto to leverage these integrations.

Zoom Attestation Process for Using HIPAA Restricted Features Now Available

An interim process has been established for requesting access to Zoom Cloud Recording. Zoom Cloud Recording is disabled for all users by default as Zoom has stated this feature is not HIPAA compliant. Individuals who want to access Zoom Cloud Recording can attest that they will not discuss or share PHI in a meeting recorded to the Zoom Cloud and assume responsibility for the appropriate use of this feature.
