Billing
Users can view charges placed in CAMS that are relevant to them using the "Penn" and/or "External" subsections of the "Charges" sidenav.
Penn Charges
Penn charges can be searched by anyone who:

- Ever placed an order on an internal account
- Is an account owner/PI of a Penn account (grant or non-grant)
- Is an active spender on a Penn account (grant or non-grant)
- Is an Account Manager of a Penn account
- Is a Core Admin where the charge took place
To locate Penn charges, you can search by:

- The Account Owner/PI
- The Account Name
- One or more of the org, fund, prog, and cref pieces on the account general ledger number
- The Spender
- A date range
- The core name
After using whatever combination of these filters you need and pressing "Search", you will see a list of charges that match your search. To see more details (i.e. line items) about any charge in the list, click the "+" button on that charge's row.
Purchase Orders (External Charges)
External charges can be searched by anyone who:

- Has ever placed an order on an external account
- Is an Account Owner/PI of an external account
- Is an active spender on an external account
- Is an Account Manager of an external account (i.e., a core manager)
To locate external charges, you can search by:

- The Spender
- The Account Owner/PI
- The Account Name
- The Account ID
- The Order ID (CAMS or Core)
- A Date Range
- The Core name
- The Institution
- The Billing Status
After using whatever combination of these filters you need and pressing "Search", you will see a list of charges that match your search. To see more details (i.e. line items) about any charge in the list, click the "+" button on that charge's row.
Checks/Wire Transfers (Accounts Receivable)
This section allows a core manager to apply payments to invoices issued by his or her core.
From the landing screen, you can find a payment (check) you have already created or create a new payment by filling in the fields on the "check form":
- The External Institution that issued the check
- The Check #
- The Date of the check
- The Amount of the check
Once you have entered the check details, you will see a box to "Add Invoice Payments". You can search for invoices to pay with this check by filling out the form in this section and clicking "Search". A list of invoices that match your search criteria will appear below. To pay an invoice or part of an invoice with the payment, check the box next to that invoice, enter the amount of the invoice to be paid, and click the "Add Invoices" button at the bottom of the section. The invoice will be added to a table of invoices paid or partially paid by this payment. Clicking the (+) on a row of this table will show more invoice details. Clicking the red (×) on a row of this table will disassociate that invoice from this payment.
External Invoices
This section allows a core admin to search invoices issued by his or her core. The core admin must select at least one of the following filters to search:
- The Core name
- The Invoice ID
- The Institution
- The Account PO Number
- The Account Owner/PI
- The Account ID
- The Status (Unpaid, Partially Paid, or Paid)
- The External BA
- The period created within (7, 30, 60, or 90 days)
- A Date Range
Once the search criteria is entered and "Search" is clicked, the user will see a list of invoices matching the search criteria. Next to each invoice is a "show" link that will show the invoice details and an "invoice" link that allows you to download the PDF version of the invoice. Above the search results is an "Export Results as..." button that allows the user to export the table of invoices as a CSV or PDF.
