Visiting Medical Students
Welcome to the Perelman School of Medicine at the University of Pennsylvania!
Introduction
Hello visiting medical students, and welcome to Penn! This page will serve as an optional supplemental set of tutorials you may review as part of the IT onboarding process for those rotating at HUP (Hospital of UPenn), HUP Pavilion, PPMC (Penn Presbyterian Medical Center), and PAH (Pennsylvania Hospital). Please note that if you are doing a CHOP pediatric rotation, they have a different computer/phone setup, have a different version of EPIC, and do not use Carelign as an electronic signout tool.
Section 1: Phone/Laptop Setup: installing EPIC and other apps on your phone and laptop
Section 2: Carelign Tutorial: used on inpatient rotations for signout, separate from the EPIC/PennChart documentation
Section 3: EPIC Tutorial: additional resources to optimize EPIC use, especially for those who have never used EPIC at your home medical school
REMINDER: Please note that per Perelman School of Medicine electronic medical record policy, all students (including visiting students) who are on an inpatient rotation should use the note type of "Medical Student" (not H&P, Progress Note, or Discharge Summary).
HUP, PPMC, PAH rotators: for questions please reach out to Beth Marra (mcneelyb@pennmedicine.upenn.edu)
CHOP (Childrens Hospital of Philadelphia) pediatric rotators: please remember CHOP has a separate EPIC system and you will receive CHOP-specific orientation information and training modules. Those will be sent by the CHOP Medical Student coordinator Julia Swanson (swansonjl@chop.edu, not handled by Beth Marra).
Section 1: Phone/Laptop Access
Here you will find a tutorial on how to set up your phone and laptop with clinical apps, bookmarks, and home EPIC access.
Section 2: Carelign Tutorial
Carelign (pronounced like "Caroline") is the electronic signout/handoff tool used by inpatient teams. See below for a 15 minute video tutorial. Carelign can be accessed as a bookmarked website: https://carelign.uphs.upenn.edu and is not an app.
Section 3: EPIC Tutorial
EPIC is the primary EMR system for inpatients and outpatients, noting that each health system customizes EPIC to look slightly different. EPIC is also known as PennChart at Penn. They’re really the same thing and the names are used interchangeably. Here you'll watch a video on EPIC Day-in-the-Life Workflow. You will also have access to the training playground environment with a guide to test your skills.
Part 1: Day In The Life
This video will walk you through pre-rounding using EPIC Haiku (on the phone) and Carelign, chart biopsying a new admission in EPIC, placing admission orders (especially for sub-I's), placing common daily orders, and communicating with nursing and other healthcare professionals via Secure Chat's texting system.
Part 2: Personalization
Once you are able to log in to the real EPIC, you can follow this personalization guide that will show you how to make a list, make lab order sets, and create note templates.
Download the guide here: EPIC Personalization Guide
Part 3: Training Playground
If you have never used EPIC before and would like to practice here are EPIC playground resources where you can test things out in a simulated environment. If you feel comfortable with EPIC already you do not need to do this.
Download the EPIC Training Playground instructions here: EPIC Training Playground Instructions. Of note, the training playground may not be available to you until you have received full EPIC access as it is embedded within apps used for full EPIC access.
