Special notice regarding the BRB mailroom

Dear PSOM Colleagues, 
 With the new school year upon us and numerous staff continuing to work hybrid, we here in Distribution Services want to ensure the departments receive their US and Intramural mail promptly. 
To help reduce the amount of mail retained in the BRB mailroom for extended periods, for those departments that provide a contact representative, we will begin making a once-a-week delivery to each department starting October 2, 2023. The weekly delivery does not preclude departments from sending someone to pick up mail as they do now on the other days of the week. Once we begin delivering, it will allow departments to receive mail if the person who typically picks up is off for the week. 
To help facilitate the transition to once-a-week delivery, we will need the department managers in each of the following buildings (Anatomy Chemistry, Blockley Hall, BRB, CRB, John Morgan, Johnson Pavilion, Richards, Steller Chance, and Stemmler Hall) to provide us with a department contact to help establish a delivery location.
When you sign up, you will also need to upload a photograph clearly indicating where we should deposit your mail. This designated "inbox" needs to be in a secure, swipe-access space near the entrance to your lab or suite.

Special notice regarding Amazon deliveries 

 In response to reported cases of mis- or failed delivery from Amazon (packages left in building lobbies, corridors, without signature), and in effort to minimize these issues, Distribution Services recommends that you use the following address format for all Amazon purchases being delivered to the Perelman School of Medicine:

Addressing Mail to PSOM

Please use a complete address, which contains the following:

  • Full Name of Recipient
  • Room/Lab Number
  • Full Building Name

The United States Postal Service (USPS) prefers that addresses adhere to the following standards:

  • Use all uppercase
  • Use Helvetica, Arial or other sans-serif font
  • Do not use a bold, condensed, or extended font
  • Left justify
  • Do not have addresses longer than 6 lines
  • USPS scanners read from the bottom up, starting with the ZIP Code. The last two lines of the address should always be street address, then city, state, and ZIP.

Outgoing Mail

Outgoing mail can be dropped off at designated PSOM campus collection locations or taken directly to a Distribution Services window at one of the locations listed above.  Outgoing mail is collected from designated collection locations daily.

Outgoing Bulk Mail

Outgoing bulk mail is defined as 5 or more large, heavy pieces or 100 or more standard-size pieces. All outgoing bulk mail should have a mail authorization card filled out completely and attached.

Mailings of 5 to 20 pieces should be bundled neatly. Larger mailings of more than 20 pieces should be placed neatly in mail tubs. Distribution Services can provide mail tubs if needed. All outgoing bulk mail should be taken to either the BRB or SCTR Distribution Services window.

Stamps & Mailing Supplies

Distribution Services does not sell stamps. For mailing supplies, visit the post office at 3000 Chestnut Street or at another location. 

Change of Address

  • Register your change of address with Penn Mail Services and USPS
  • To change your address with PSOM Distribution Services, please submit a SPO - Change of Address Form
    • Use this form if your department, or an office or lab within your department, is moving
    • Please note that filling out these forms does not update staff members' Penn Directory listing
  • Click here to change your Penn Directory listing (PennKey and password required)
  • If you are moving because you are changing jobs within the university, please update your record in Workday
  • Notify vendors and publishers directly if any mail addressed to you is department business that should be delivered to another person (e.g., invoices, periodicals, bank statements, etc.). This way, the mail will stay with the department

Tracking Mail and Packages

Distribution Services staff are unable to track First Class Mail or Express Mail designated for "desktop delivery" from vendors such as FedEx or UPS. This includes FedEx Same Day, Same Day City, and First Overnight services. Contact the carrier directly to track these services.

Distribution Services distribution staff will help track and locate packages during normal hours of operation for:

  • Certified or Registered Mail
  • Non-desktop FedEx and UPS packages for which you have a tracking number
  • Vendor shipments (e.g., Fisher, Emsco)

Special Considerations

Radioactive Material

Packages containing radioactive material will be delivered directly to the user by the carrier or to the EHRS radionuclide distribution facility.

Scientific or Warrantied Sensitive Equipment

When you place an order for scientific or warrantied sensitive equipment, it is crucial that you clearly indicate on the PO: “INSIDE DELIVERY REQUIRED.”  Movement of this type of equipment by Distribution Services staff may invalidate the warranty.
