SPO provides limited move services within PSOM.

A small move job is the transfer of no more than five (5) items, with no single item weighing more than 50 lbs., from one PSOM building to another. Some additional caveats are described in the FAQs, below. If you have heavy equipment (e.g., fume hoods, incubators, freezers), only two (2) items are permitted per move request, unless the job is done in overtime. If necessary, you can coordinate your small move job with your building administrator. If your building administrator determines that your move is beyond the parameters described here, the building administrator can assist you in contracting with an external moving company. Distribution Services reserves the right to deny a request to move items of unusually large size or weight.

How do I request a small move job?

What happens next?
When will my small move job actually happen?

The requester will be contacted by our staff once we receive the building administrator's approval for the move request. Move requests will be responded to/confirmed within 48 hours of the building administrator's approval, and a move appointment will be scheduled.

Are move jobs for electronics handled differently than move jobs involving other items (e.g., other equipment, furniture, etc.)?

  • Move requests for electronics can only be completed if a PMACS tag is displayed prominently and attached to the items you need moved. Electronics include anything with memory (e.g., computers, printers, copiers, scanners). Request a tag by placing a PMACS ticket request.
  • Keyboards, mice, etc. need to be bundled into a bag or box.

How much does each move job cost?

$85 per move request number.

How many items can I put on one move request?

You can put up to five (5) items on one move request, depending upon the size, weight, shape, type of moving equipment needed, and distance of the move. Your building administrator or the move supervisor may deny your request if there are too many items or if we are unable to complete moving all items because they are too large, heavy, or awkwardly shaped for our staff to manage. If anything has to be moved out of the way in order to transport your items, you need to state this in your move request.

What constitutes 5 items?

In most instances, each item our staff must move is considered one item. Regular-size computers and regular-size flat screen monitors will usually be combined as one item. Large computer towers and large computer monitors (e.g., 42-inch monitor or old tube monitors) will be considered one item each. When you set the appointment for your move job, the move supervisor will discuss this with you.

How many staff are assigned to complete a move request?

The number of staff assigned is at the supervisor's discretion, depending on the items and required safety precautions. It could be one person or several. There is no additional charge if we need to add staff to a move job.

If the scope of my move has increased since I submitted my request, whom do I contact?

  • Increase in Number of Items: The services assistant must contact the move supervisor for approval. Moves are performed by appointment; therefore, if the additional items will require additional time or an additional trip, you will need to submit a new move request.
  • Path Needs to Be Cleared: If things need to be moved out of the way in order to obtain access to the item(s) specified on the move request, you may need to put in an additional move request and reschedule your move appointment.
  • Computing Items: If you don’t have a PMACS tag for each item, you will need to contact PMACS to obtain the tags.
  • Hardwired Items and Connected Water or Gas: For items requiring disassembly, you will need to contact your building administrator. For hardwired electric or hard-piped water without tag, you will need to contact your building administrator to have item(s) disconnected.
  • Hazardous Materials or Equipment Housing Hazardous Materials: You must contact your building administrator and EHRS for proper preparation of equipment.
  • Lab Equipment (such as incubators, etc.): You must contact your building administrator and EHRS.
  • Scientific Equipment/Items Under Warranty: Items covered under warranty or terms of use may require professional movers or manufacturer’s rep specifications.

While move staff are here, can I request additional items be added that do not appear on my move request?

Our service assistants will need to contact the move supervisor for approval. We may require an additional move request if items don’t fit or require a lot of additional time or additional staff.

Who do I contact about removing packing materials from the hallway?

You can contact your building administrator, who will typically instruct you to do the following and should inform you that there may be an additional charge.

  • Removal of wood pallets and crates: Put in a move request.
  • Removal of cardboard: Contact housekeeping.

My move request has been approved and the date and time have been scheduled. What should I do to prepare?

  • Clear pathways to the items to be moved.
  • Make sure disassembly or disconnection of any items that require it has been taken care of properly.
  • Ensure that all required tags are properly displayed (e.g., PMACS, EHRS, move request, building administrator instructions).
  • Coordinate with your building administrator to ensure necessary reassembly or reconnection of any items.

Do items need to be wrapped up in a certain way?

  • Loose items should be boxed.
  • Any paperwork needs to be properly displayed and attached to the items to be moved.
  • Boxes and other containers need to be properly sealed (taped, plastic wrapped, etc.).

Do you check for issues with moving large items through doors and hallways?

This should be coordinated with your building administrator. The building administrators review every move request. Their approval generally indicates that we should be able to move the items from a building perspective; however, if you have any concerns, be sure to discuss them with the move supervisor during your appointment-setting conversation. If we find that we cannot move an item through doors or hallways, you won’t be charged for the move request, and we will refer you to your building administrator to work out the details.

Can you disconnect a desk(s) for us?

For items requiring disassembly, you will need to contact you building administrator prior to the arrival of our staff.

Do I need to empty my file cabinet, desk drawers, refrigerator, etc. in order for your staff to move it?

Yes. All items need to be emptied and refrigerators need to be drained.

Does someone need to be present during my move job? 

The person submitting the request, or their designate, will need to initial the request and be available in case there are questions.

Are you able to disconnect or hook up my equipment, electronics, machinery, etc. prior to or after moving?

No. We are not permitted to disconnect or hook up any items. You will need to contact your building administrator.

If I request an item be moved that I no longer need, what happens to it?

Contact your building administrator, who will determine what will happen with your item(s).

  • If it is recyclable, it will be sent to MOD V.
  • If it is trash, it will be sent to our loading dock for pickup.
  • If you have a significant number of items that are still useful (e.g., chairs, file cabinets, etc.), they may be saved for future use elsewhere, or in some cases, they may be refurbished and recycled.
