AV Rental & Service Requests (Across Penn Medicine)

To reserve all AV equipment or to schedule services, use the room request or AV rental request form on the EMS Web App.

PLEASE NOTE:  Some MTP support services are provided with associated fees. It is always best to contact MTP to inquire about potential support charges in advance of your meeting or event.

Auditorium Support

Meetings and events scheduled in a PSOM auditorium include a dedicated technician if technology is required. Depending on the type of event, this type of technician may or may not require a fee. Please discuss potential charges with MTP.

Control-Room Support

MTP provides dedicated help desk operators weekdays from 8 AM – 5 PM. Remote support is available for meetings and events in PSOM and for some Penn Medicine spaces. Simply press the help desk button in the room, and you will be connected automatically to the nearest control room. You may also call the numbers below to speak with one of our operators.

Runner Technician

Schedule a runner if you require no further support beyond ensuring that the equipment in your scheduled space is turned on and functioning properly before your meeting or event. We have two runners throughout the day, every weekday.

  • AM Runner: Every morning (Monday – Friday), a technician goes to the spaces that are scheduled for AV technology use that day and unlocks and tests the room’s fixed equipment.
  • PM Runner: At the end of the day (Monday – Friday), a technician goes to all spaces where technology was used and ensures that the equipment has been shut down properly and locked securely.

Setup/Breakdown Technician (fee-based)

Schedule this type of support if you need assistance setting up prior to a meeting or event, i.e. using technology other than what is immediately available or fixed in the room, loading presentations, using teleconferencing equipment, etc. A technician will arrive beforehand to assist with any technology needs and return after the event to breakdown any equipment used. This support is required for some resource assignments. Please contact MTP to discuss associated fees.

Stay-on-Site Technician (fee-based)

Schedule this type of support if you would like an MTP technician to remain on-site to provide assistance for the duration of your event. A stay-on-site technician helps set up in advance, assists with any technology-related needs that may arise during the event, and breaks down the equipment used, afterward. Please contact MTP to discuss associated fees.

Video Conferencing Support (fee-based)

An MTP technician will support your entire video-conferencing meeting or event from setup to breakdown. This includes testing prior to the meeting date and moderating the event from an MTP control room or another remote location. If stay-on-site support also is requested, additional fees apply.
