Virtual Thesis Committee Meetings

Please note that since you're part of the School of Medicine, the sign-in link for your zoom account is https://pennmedicine.zoom.us.

 

Setting up and Scheduling a Virtual Thesis Committee Meeting
  • Schedule a date/time with your advisor and thesis committee as usual.
  • Once you have a date/time for a meeting, navigate to https://upenn.bluejeans.com/ and Log In. You will be redirected to a page to sign in with your Pennkey and password.
  • Once on the main BlueJeans dashboard, click “Schedule a New Meeting”
  • Create a Meeting Title. Example: Thesis Committee Meeting: Smith,Jane
  • Schedule the meeting for the date and time block agreed upon by your committee. Plan for a 2 hour time block.
  • Invite Participants by listing their email addresses, separated by commas. Alternatively, email your committee members the “Meeting ID” afterwards so that they can join the BlueJeans meeting. Committee members without a pennmedicine email can be invited this way.
  • Confirm by clicking “Schedule Meeting”
  • If you chose not to send invites through the “Invite Participants” step, the “Meeting ID” can be found by clicking on the meeting to expand its information. The committee members will need the “Meeting ID” in order to join the meeting.
Starting / Joining your Meeting
  • When the time comes for your BlueJeans Thesis Committee Meeting, navigate to the BlueJeans dashboard using the same steps as above.
  • Click on your scheduled Thesis Committee Meeting, and then click the blue “Start Meeting” button. If this is your first time, you will be prompted to download and install the BlueJeans desktop software. If you’re using Google Chrome, you might not have to download the desktop software.
  • The desktop software loads relatively quickly, and should open up into the meeting window. You will be asked which microphone option you want to use (computer’s microphone/audio or phone). If your computer does not support microphone/audio, follow the instructions for calling in. You’ll need a nearby phone, so that you still have access to the BlueJeans meeting window.

  • Once on the main Zoom dashboard, click “Meetings” on the left side menu
  • Click "Schedule a Meeting"
  • Create a Meeting Title. Example: Thesis Committee Meeting: Smith,Jane
  • Schedule the meeting for the date and time block agreed upon by your committee. Plan for a 2 hour time block.
  • Zoom requires that meetings either have a waiting room enabled, or a passcode.
  • Confirm by clicking “Save”
  • To view the virtual meeting information, click on "copy invitation".
Starting / Joining your Meeting
  • When the time comes for your Zoom Thesis Committee Meeting, navigate to the Zoom Meetings page using the same steps as above.
  • Hover over your scheduled Thesis Committee Meeting with your mouse, and then click the blue “Start” button.
